AMMI Canada, CACMID and Unconventional Planning are the ONLY official housing agents for the annual conference. No other housing company, travel agent or third party agency is authorized to place hotel reservations on behalf of the AMMI Canada – CACMID Annual Conference.

Event Description
The only one of its kind in Canada, the AMMI Canada – CACMID Annual Conference provides an interactive venue where experts in the fields of diagnostic microbiology, antimicrobial stewardship, infectious diseases, infection prevention and control, and public health meet. The conference attracts attendees from across Canada and internationally. It provides updates on a variety of topics to a diverse audience of clinicians, microbiologists, laboratory technologists, public health professionals, infection prevention and control practitioners, students and residents.
 
The conference is governed by the Central Planning Committee, which is composed of representatives from both AMMI Canada and CACMID.

Ticket Price
Booth Space: 8’ deep x 10’ wide
Each standard booth space includes:
• 8’ back drape and 3’ side drape (black)
• 1 6’ skirted table (black)
• 2 chairs
• 1 wastebasket
• 1 standard electrical outlet (15 amps)
• access to the exhibit hall for 2 booth representatives
• a brief profile of your organization (maximum 25 words per booth space) in the exhibitor directory section of the conference final program guide (the final program will only be available as an electronic file)

NOTE: The exhibit areas and booths are carpeted with the existing facility carpet. The maximum booth height permitted is 8 feet.

Accommodations
Attendees are responsible for their own hotel accommodations. A limited number of rooms have been set aside for our group at The Westin Ottawa and our group rates will be available until February 19, 2019, or until our group block is sold-out, whichever comes first.

 

For hotel accommodations at The Westin Ottawa, exhibitors are required to reserve their rooms by February 19, 2019.

If a room block of five (5) or more rooms is needed, the reservations must be booked through the AMMI Canada – CACMID Annual Conference secretariat. Please send all room block information by email to meetings@ammi.ca in the form of a spreadsheet, with the following information: guest names, arrival and departure dates, any special notes, and a valid credit card number to hold the reservations (note: credit card will not be charged unless room block is cancelled after February 19, 2019).

BOOTH ASSIGNMENT: Review the exhibit hall floor plan to identify your top three choices of booth location – click here. If you would prefer to be assigned booth space away from or next to another exhibitor, please provide details. All requests will be noted and taken into consideration.

 

The AMMI Canada – CACMID Annual Conference Secretariat assigns space as equitable as possible. Sponsors receive first priority booth assignment, followed by first-come first-served based on registration date thereafter. 


The first round of booth assignments will be issued on or around Monday, January 7, 2019. Once the first round assignments have been made, an updated floor plan will be available for additional exhibitors to choose from remaining booth spaces. The second round booth assignments will remain open until Monday, February 4, 2019. If a company has not selected a booth location by this date, the conference secretariat will assign a booth based on space available. 

The AMMI Canada – CACMID Annual Conference Secretariat reserves the right to make the final decision with regard to booth space allocation and to change a space assignment after the assignment is made should it become necessary to do so. Exhibitors will be notified immediately should this be the case.


The AMMI Canada – CACMID Annual Conference Secretariat reserves the right to revise the floor plan to meet the needs of the majority of exhibiting companies and the overall conference.

 

EXHIBITOR DIRECTORY: Your participation includes a brief profile of your organization (maximum 25 words per booth space) along with contact information in the exhibitor directory section of the conference final program guide. EXHIBITOR REGISTRATION: Register the representatives from your organization who will be staffing your booth during the conference by MONDAY, MARCH 4 – booth staff registration will open in November.

 

Name badges are required by all participants to access the exhibit hall. Exhibitors must be pre-registered and will receive a name badge on-site. Registered exhibitors are invited to attend events in the exhibit hall. Each booth space includes registration for two exhibitors (and some sponsorship levels also include additional). Extra booth representatives in addition to your allocation may be registered at $100 each.

 

CONFERENCE REGISTRATION: Exhibitors who wish to attend the full conference and scientific sessions must be registered online for the conference – click here. Discounted rates are available until February 19, 2019.

 

TRAVEL DISCOUNTS: The AMMI Canada – CACMID Annual Conference Secretariat has secured special discounts for travel to and from Ottawa for the conference with Air Canada, Porter Airlines, WestJet, and Via Rail.

MEETING/EVENT SPACE RESERVATIONS: If meeting and/or event space is needed, exhibitors must go through the AMMI Canada – CACMID Annual Conference Secretariat – phone 613-260-3233, extension 103, or email meetings@ammi.ca.

Cancellation &
Refund Policy
Notice of cancellation must be submitted in writing and will result in a refund based upon the following schedule: cancellations submitted 120 days before the beginning of the event will receive a full refund less a $200 administrative fee; cancellations submitted 119 to 60 days before the event will be refunded 50% of the total exhibitor commitment; no refunds will be provided within 60 days of the event.

 

The AMMI Canada – CACMID Annual Conference Secretariat reserves the right to resell/reassign exhibit space upon receipt of written cancellation. Applications not fully paid by the event start date are subject to cancellation and/or reassignment at the conference secretariat’s discretion, without refund and with liability for the balance remaining due.
